{"id":2062,"date":"2024-03-14T17:46:52","date_gmt":"2024-03-14T17:46:52","guid":{"rendered":"https:\/\/articles.alpha.canada.ca\/forms-formulaires\/?page_id=2062"},"modified":"2025-10-22T20:52:46","modified_gmt":"2025-10-22T20:52:46","slug":"collaborating-in-gc-forms","status":"publish","type":"page","link":"https:\/\/articles.alpha.canada.ca\/forms-formulaires\/collaborating-in-gc-forms\/","title":{"rendered":"Collaborating in GC Forms"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\" id=\"collaborate-on-draft\"><strong>To collaborate on a draft<\/strong>:<\/h2>\n\n\n\n<p>GC Forms does not yet have a collaboration feature for editing a draft form together.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Sign in to <a href=\"https:\/\/forms-formulaires.alpha.canada.ca\/\">GC Forms<\/a>.<\/li>\n\n\n\n<li>In <a href=\"https:\/\/forms-formulaires.alpha.canada.ca\/en\/forms\/drafts\">Forms<\/a>, select the draft form you want to share with colleagues.<\/li>\n\n\n\n<li>In the top menu, select \u201cShare\u201d &gt; \u201cShare by email\u201d.<\/li>\n\n\n\n<li>Enter the email address of a colleague.\n<ul class=\"wp-block-list\">\n<li>This must be an individual email address belonging to an employee, not a shared inbox.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Your colleague will receive a copy of the form file (in JSON format) to work on from their account by opening a form file.<\/li>\n\n\n\n<li>These steps can be repeated to share back updates.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"share-access-published\"><strong>To share access to a published form<\/strong>&#8216;s responses:<\/h2>\n\n\n\n<p>It is possible to have multiple people get access to a form once it\u2019s published. This is helpful if the responsibility of downloading responses is shared by many colleagues.<\/p>\n\n\n\n<p><strong>To share the responsibility of retrieving responses you download from GC Forms<\/strong>:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Sign in to <a href=\"https:\/\/forms-formulaires.alpha.canada.ca\/\">GC Forms<\/a>.<\/li>\n\n\n\n<li>Ensure all people involved also have GC Forms accounts.<\/li>\n\n\n\n<li>In <a href=\"https:\/\/forms-formulaires.alpha.canada.ca\/en\/forms\/drafts\">Forms<\/a>, select the published form you want to share access to. <\/li>\n\n\n\n<li>In &#8220;Responses&#8221;, select &#8220;Manage access&#8221; on the right side of the screen.<\/li>\n\n\n\n<li>Enter the email address of another GC Forms account within your department or agency to invite them to help you manage responses.\n<ul class=\"wp-block-list\">\n<li>This must be an individual email address belonging to an employee, not a shared inbox.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<p><strong>For any issues related to shared access:<\/strong><\/p>\n\n\n\n<p>Contact the&nbsp;<a href=\"https:\/\/forms-formulaires.alpha.canada.ca\/en\/form-builder\/support\">Support team<\/a>&nbsp;with the email addresses that will need to access the published form together, as well as the URL link of the form.
